Overview

The NYSLGITDA will hold our Annual Spring Conference with a Vendor Fair in Syracuse, NY, at the Marriott Syracuse Downtown Conference Center on May 4th and 5th, 2022. We are expecting more than 75 county, state and other local government CIOs, IT Directors and Senior Staff to attend. As in the past, we are looking for exhibits of vendor systems, products, services and applications that provide government IT personnel with valuable, relevant displays that applies to local government entities. This is the perfect chance to demonstrate your products to the IT Leaders who make the technology purchasing decisions in NY State Local Governments.

** PLEASE NOTE: NYSLGITDA is reserving the right to require either proof of COVID vaccination or negative COVID test prior to attendance. Whether this will be required will be determined about 4-6 weeks prior to the event and be informed by NYS and CDC guidelines for group gatherings. **

Event Options
1. Vendor Fair $1650.00
Includes attendance for up to 3 vendor representatives to the following events:
On Wednesday, May 4th, member\vendor roundtable session from 4:30 PM to 5:30 PM, Social Hour Networking and dinner with attendees from 5:30 PM to 8:00 PM and the Hospitality Suite that follows. On Thursday May 5th, breakfast with attendees, one 8×6 booth at the Vendor Fair from 9:00 AM to 1:00 PM and lunch at the Vendor Fair.

2. Add-A-Rep. New since 2021 is the ability to pay to bring a single additional representative to the conference. A standard registration allows (3) representatives. Vendors may add (1) additional representative each for $250. This is limited to (10) vendors. (Note: Sponsors already have a 4th rep and do not need this option.)

3. Vendor Sponsorship Opportunities, includes Vendor Fair and Spring Conference.
Due to high demand we are offering additional sponsorship opportunities this year. These sponsorships are in addition to the $1,650 registration fees above.

Upgrades for the Spring 2022 Conference Only.
(1) Dinner on Tuesday  $1500.00
(1) AM Break Sponsor on Wednesday $ 750.00
(1) Lunch Sponsor on Wednesday  $1250.00
(1) PM Break Sponsor on Thursday  $ 750.00

A sponsorship includes all events in the previous two options plus the following extra benefits:
– Prominent booth placement at beginning of trade show with larger 10 x 6 booth
– Exclusive access to attendees during your sponsorship event
– 20-minute presentation period during the sponsorship event for dinner
– 15-minute presentation period during the sponsorship event for lunch
– 10-minute presentation period during the sponsorship event for breaks
– Up to 4 representatives at both the sponsorship event and vendor fair event
– For dinner sponsorship, the pre-dinner social hour and hospitality suite are included for your representatives.

Space is limited to the first 70 vendors responding. We will create a waiting list, just in case a vendor does not pay or has to drop out.

Payment Options
Preferred – by Credit Card – make payment at time of registration through our online registration process. We now accept American Express, Mastercard and Visa.
Payment is due no later then April 15th, 2022 . If we do not receive your payment by April 15th, we will be moving to vendors on the waiting list! No cancellation refunds after April 15th, 2022

Pay-by-Check – You can pay by check, but full payment must be paid within 20 days or registration is subject to cancellation.

4:30 PM – 5:30 PM Round Tables with Conference Attendees (3 attendees max per vendor unless upgraded)
5:30 PM – 6:30 PM Cocktail Hour
6:30 PM – 9:00 PM Dinner/Networking with membership (up to 3 attendees per vendor unless upgraded)
9:00 PM – ?????? Hospitality Suite – Vendors are invited to attend

(Note: NYSLGITDA members will be attending sessions May 3rd, 4th, 5th and 6th. These sessions will be closed to vendors except for attendance at their sponsorship event.)

Shipping Information

All shipping/receiving or storage must be arranged with Northeast Decorating and Exhibit Services at (315) 471-9989. Electricity will be available at each table (convenience outlet, 500 watts), additional power needs can be accommodated upon request. Other services can be arranged directly with Northeast Decorating.
